Purpose
Upload your initial stock quantities in bulk for all existing products across one or more locations.
Before you start
- Ensure you have permission to import opening stock.
- Export current products (if needed) to copy SKUs and unit prices.
Steps
- Click Stock Manager
- Navigate to Import Opening Stock.
- Download the template file.
- Fill required columns:
- sku – Product SKU (must match existing product)
- location – Exact name of store/warehouse
- quantity – Opening quantity
- purchase_price – Unit cost (numeric only)
- Save as CSV (UTF-8).
- Return to the app → Choose File → Submit.
- Review import summary and fix any errors.
- Successful imports will update stock immediately.
Import across multiple locations
10. For multiple locations, include each location in a separate row with the same SKU but different location and quantity.
Repeat the same CSV with rows for each location (change location and quantity per line). The same SKU may appear multiple times for different locations.
What happens next
Imported opening stock updates stock levels and will be visible in reports. If errors occur, the system will show rows and error messages.
Tips / Troubleshooting
Problem: Import shows errors or imported quantities not assigned to the right location.
If import fails, check for: missing required columns, SKU mismatches, incorrect location names, currency symbols in price, or incorrect date formats.
For large imports, test with 10 rows first.
Common error messages & fixes
- Error: SKU not found
Fix: Ensure SKU exists and has no trailing spaces
- Error: Product not found.
Fix: Verify SKU exists exactly (no trailing spaces). If totally missing, create the product.
- Error: Invalid location.
Fix: Match location name exactly in case and spelling..
- Error: Invalid purchase price.
Fix: Remove currency symbols, use numbers only.
- Error: Opening stock cannot be edited.
Fix: If transactions exist, use adjustments instead.
